I’m giving this one an 8 out of 10. Though it’s not an appointment scheduling tool like Calendly, it’s still great for managing your personal or team productivity.
In this review of Sunsama, I’ve followed SMB Guide’s detailed criteria for evaluating the appointment scheduling software.
When dealing with the Notion integration, I found it a bit cumbersome because it meant filtering out my personal tasks from the entire database, and I had to add pages from the platform with individual links.
I could see how it would be cumbersome for someone to bring in multiple tasks from various project management platforms.

Appointment Workflow Automation
Sunsama isn’t an appointment scheduling tool, but instead a task management tool. You’ll spend time setting it up with tasks you accomplished yesterday and how much time you spent on them.
You’ll then be able to add tasks you want to accomplish today and get the chance to sync your calendar, create a channel for personal tasks, and so on.
Customization Options
The customization options are limited to what you set up for when you want to plan your day, and when you want Sunsama to shut down for the day.
Because it’s not a scheduling tool to use with clients, there are limited customization options. It’s not a bad thing – and I’m not penalizing the tool for it here, since it’s in a different class of calendar management tools.
Calendar Management Features
This is another area where Sunsama is different because it’s not meant for scheduling appointments with clients.
You manage your calendar with your daily planning every day – and adjust tasks as needed. You can manually add tasks or add them from integrations.
Automated Reminders and Notifications
You can opt for a desktop reminder and email reminder at a set time every day to remind you to plan your day.
That’s step 6 of the setup (you’ll see more about that below) and right on the screen, it says you’ll never receive any other desktop notifications.
Client Management and Communication
There are no client management tools and communication within the app. If you connect to Slack, you can use that or Gmail to import messages and convert them to tasks.
However, you can’t use the app to communicate with other people.
User Interface and User Experience
I found the platform fairly easy to use, but was frustrated that I went through 16 screens (I took shots of all of them because I wasn’t sure what I would end up using here) just to get set up.
I feel like they could have simplified things a bit more.
This is the screen you see right after you sign up – which I did using my Google login.
Then, you’re prompted to select the task managers you use. And then you have to choose the calendars you use.
Then, you get a screen for what you did yesterday, what you want to do today, and so on. It is a bit tedious, but each screen only takes a few seconds, unless you have massive lists to enter.
Once it’s all done, you get a task view and a calendar view. The calendar view is shown above in the Calendar Management section – and the task view is shown below.
Integrations, Compatibility, & Supported Platforms
Sunsama offers a variety of integrations with many of the tools you’re likely already using in your workflow. You can connect it to project management platforms like Todoist, Asana, and Clickup.
You can also integrate it with communication tools like Slack, email like Gmail and Outlook, and more.
There are desktop applications and mobile apps for Android and iOS in addition to the cloud version, which works from any web browser as long as an internet connection is available.
Customer Support
Sunsama’s customer support is available by email to help you report issues, troubleshoot, or get your questions answered.
Support is also available via in-app messaging. Beyond that, there’s an extensive knowledge base and FAQ section to help you get your questions answered immediately.
Sunsama — Unique Features
Though I found it a frustrating part of the user experience, the guided onboarding process with your daily planning could be useful for some users.
It’s not something you see in other tools. The workload tracking features are also cool.
