Appointment Workflow Automation
Once you take the time to set up your appointment options, it’s pretty standard.
Customers visit the booking URL, choose the appointment type, date, and time.
They’ll provide the information you ask for at booking, which can be customized in the dashboard.
When they finish the booking, they’ll be given the option to add the appointment to their calendar, and receive an email confirmation.
Customization Options
Bookafy offers customization options for booking and your booking page settings, as well as business hours, the calendar view, and your emails to customers.
You can customize the business details, where you can add your business logo and write a short description you can show on the booking homepage.
You’re also able to control settings like whether you want to display reviews on iframe and popup, publicly display reviews, send requests for reviews, skip user selection at booking, include a link to reschedule on emails, get copied on new appointment emails, show yourself as busy, etc.
You also choose to allow people to book multiple appointments for one session. You can display business hours, appointment types and groups, business name, phone number, etc.
Further down, you can customize the accent button color, header text color, the iframe background and font family to better match your branding.
Calendar Management Features
In the calendar section, you can see all your appointments and create a one-off appointment.
If you want to manage how the calendar looks, you’ll have to go “Calendar View” in the customization tab.
That’s where you can set the default calendar view, the slot duration, and appointment status.
There doesn’t seem to be any way to build a buffer between appointments like with other software options.
Automated Reminders and Notifications
I wasn’t able to test this feature with my trial. Reminders and notifications are only available on the two paid plans.
If you subscribe to the Pro+ plan, you can send multiple reminders.
Client Management and Communication
There’s a customer section, where you can import a list of your existing customers, or have customers who book an appointment get automatically added.
This was difficult for me to really test, since all I could do was visit my own booking page and book an appointment.
I was able to see myself as a customer with notes about the appointment, my address, and social media.
If I was on a paid plan, I believe I would be able to set up SMS notifications to remind my customers of the appointment, but that was not the case for my free trial account.
User Interface and User Experience
I found the user interface to be more confusing than necessary. For instance, “Customers” is under the “Manage” tab, which to me would make more sense as its own menu item.
It wasn’t that it was particularly difficult to use or figure out. It was more that they could make some adjustments to make it even easier and more intuitive.
Integrations, Compatibility, & Supported Platforms
Bookafy integrates with your website, offers two-way synchronization with multiple calendars (on paid plans), Mailchimp, Stripe, Authorize.net, and several video platforms like Zoom, GoToMeeting, WebEx, and Teams.
Customer Support
Bookafy has a robust FAQ section to help you address the most common questions. If you still need help after that, you can reach out via live chat or email.
Using Live Chat, you’ll be given the option to talk to a human, but be asked to try to find your answer in the help center articles first.
Bookafy — Unique Features
The most unique feature Bookafy offers is its HIPAA compliance on the Pro+ plan.
This allows doctors and other medical providers that legally must operate under HIPAA to use the platform to conduct telehealth appointments.
While other platforms offer this, not all of them do.
