SMB Guide’s Verdict for Bookafy

SMB Guide’s overall rating for Firstbase is 8 out of 10.

While Bookafy is versatile, the limited customization options for embedded meetings, confusing setup and configuration process, and outdated interface are prime reasons why we didn’t score this one higher.

Yes, it works for various business models, but alternatives may be better for you.

Appointment Workflow Automation

Once you take the time to set up your appointment options, it’s pretty standard.

Customers visit the booking URL, choose the appointment type, date, and time.

They’ll provide the information you ask for at booking, which can be customized in the dashboard.

Bookafy workflow automation

When they finish the booking, they’ll be given the option to add the appointment to their calendar, and receive an email confirmation.

Customization Options

Bookafy offers customization options for booking and your booking page settings, as well as business hours, the calendar view, and your emails to customers.

Bookafy booking customization

You can customize the business details, where you can add your business logo and write a short description you can show on the booking homepage.

Bookafy customer booking experience

You’re also able to control settings like whether you want to display reviews on iframe and popup, publicly display reviews, send requests for reviews, skip user selection at booking, include a link to reschedule on emails, get copied on new appointment emails, show yourself as busy, etc.

You also choose to allow people to book multiple appointments for one session. You can display business hours, appointment types and groups, business name, phone number, etc.

Further down, you can customize the accent button color, header text color, the iframe background and font family to better match your branding.

Calendar Management Features

In the calendar section, you can see all your appointments and create a one-off appointment.

If you want to manage how the calendar looks, you’ll have to go “Calendar View” in the customization tab.

That’s where you can set the default calendar view, the slot duration, and appointment status.

There doesn’t seem to be any way to build a buffer between appointments like with other software options.

Automated Reminders and Notifications

I wasn’t able to test this feature with my trial. Reminders and notifications are only available on the two paid plans.

If you subscribe to the Pro+ plan, you can send multiple reminders.

Client Management and Communication

There’s a customer section, where you can import a list of your existing customers, or have customers who book an appointment get automatically added.

This was difficult for me to really test, since all I could do was visit my own booking page and book an appointment.

Bookafy client management

I was able to see myself as a customer with notes about the appointment, my address, and social media.

If I was on a paid plan, I believe I would be able to set up SMS notifications to remind my customers of the appointment, but that was not the case for my free trial account.

User Interface and User Experience

I found the user interface to be more confusing than necessary. For instance, “Customers” is under the “Manage” tab, which to me would make more sense as its own menu item.

Bookafy dashboard

It wasn’t that it was particularly difficult to use or figure out. It was more that they could make some adjustments to make it even easier and more intuitive.

Integrations, Compatibility, & Supported Platforms

Bookafy integrates with your website, offers two-way synchronization with multiple calendars (on paid plans), MailChimp, Stripe,, and several video platforms like Zoom, GoToMeeting, WebEx, and Teams.

Bookafy integrations

Customer Support

Bookafy has a robust FAQ section to help you address the most common questions. If you still need help after that, you can reach out via live chat or email.

Bookafy help desk

Using Live Chat, you’ll be given the option to talk to a human, but be asked to try to find your answer in the help center articles first.

Bookafy — Unique Features

The most unique feature Bookafy offers is its HIPAA compliance on the Pro+ plan.

This allows doctors and other medical providers that legally must operate under HIPAA to use the platform to conduct telehealth appointments.

While other platforms offer this, not all of them do.

What the Experts Say About Bookafy

At the time of this review, Bookafy has the following ratings:

  • 4.5/5 stars at TrustRadius (5+ reviews)
  • 4.7/5 stars at Capterra (130+ reviews)
  • 4.4/5 stars at G2 (10+ reviews)

I use Bookafy to allow my clients to choose their own appointments, directly from my website, without the hassle of back-and-forth emails on days/times. Since my google calendar integrates with it, I know that I can’t be double-booked: two clients at the same time or by a personal conflict. I love that I can collect payments at the time of booking and have my Zoom meeting info sent out automatically.

Jeremy F., Owner – Verified Capterra review

I have lots of meetings between coaching clients and organizational partners, having Bookafy has relieved me of the stress of trying to get meetings booked. I just send my links and appointments happen. Bookafy stands out because of the great features and functionality, and because the customer service is the best I’ve witnessed. Very responsive and quick to offer help with anything that needs resolution.
