As a small business owner, you likely have a plethora of accounts and subscriptions to keep track of. If you don’t already have a dedicated password manager, now’s the time to get one.
RoboForm is a secure software for storing and automatically generating passwords for every single online account you have. It’s affordable and easy to use — but it comes with some drawbacks.
In this RoboForm review, we’ll explore its features, pros and cons, and pricing so you can decide if it’s the right password manager for you.
SMB Guide’s Verdict for RoboForm
Based on the scoring factors in the table below, we rate RoboForm 9.1 out of 10.
Overall, RoboForm is a pretty good password management software. The fact that they’ve not been the victim of any security breaches makes me feel more confident in their security than other competitors who have faced one or even multiple cyber hacks in recent years.
However, while RoboForm has a free plan, it’s lacking in essential features — namely, the ability to sync passwords across more than one device. Some users also noted that the browser extension itself can be buggy at times.
Here’s a breakdown of how we scored RoboForm in each category:
Factor | Rating (out of 10) |
---|---|
Pricing & Plans | 9.5 |
Multi-factor Security & Authentication | 10 |
One-time Passwords | 9.5 |
Password Capture & Generation | 9 |
Password Sharing | 9 |
User Interface and User Experience | 9 |
Integrations and Compatibility | 8 |
Customer Support | 8 |
SMB Guide Rating | 9.1 |

Multi-factor Security & Authentication
Enabling two-factor authentication in RoboForm makes it more difficult for your account to be hacked, which is especially important if you’re using RoboForm for sensitive accounts such as your bank and accounting software.
2FA works by requiring a second form of identification along with your Master Password when logging into RoboForm.
Two-factor authentication (2FA) is available on RoboForm’s Premium tier and higher. Options for two-factor authentication include:
- SMS (least secure)
- Authenticator apps such as Google Authenticator, Authy, Microsoft Authenticator, and other TOTP authenticator apps (most secure)
Setting up 2FA is pretty simple. Just navigate to the Start page, click the drop-down menu in the upper right corner, and select “Settings.”
Under “Security,” you’ll be able to update your 2FA method and various other security settings.
One-time Passwords
You can use RoboForm for time-based one-time password (TOTP) 2FA authentication, eliminating the need for additional apps like Google Authenticator and Authy.
This will allow you to take advantage of 2FA on your various online accounts easily as RoboForm will autofill the one-time password for you.
Password Capture and Generation
RoboForm’s browser extension will show a pop-up window whenever you log in to a new account, asking if you’d like to save the credentials:
I found that the pop-up was reliable and consistent, whereas with other password managers I’ve tried, it doesn’t always recognize a new login.
If you’d rather not see this window appear every time you log in to a new account, you can update your AutoSave preferences to automatically save new credentials without asking.
When you visit a site where your login credentials are already saved, RoboForm will automatically fill in your login information for you.
I personally found that RoboForm’s login autofill worked well. That said, some users noted that the form filler feature sometimes used incorrect/conflicting information (such as wrong credit card information or address).
While this isn’t something I personally experienced, it’s something to consider.
Password Sharing
With RoboForm, you can share individual items (logins, identities, or Safenotes) with other RoboForm users or share multiple items at once via folders.
Sharing an item is as simple as hovering over the item you want to share, clicking the three dots that appear, and then tapping “Share.” Then, you can add the recipient’s email or even add multiple recipients to share the item with.
It’s important to note that on the free plan, you’ll only be able to “send” logins. This is different from sharing in that sending logins is a one-way transfer. While “shared” logins will automatically sync between users when passwords are changed, “sent” logins will not update.
If you have multiple items you’d like to share, you can create a shared folder. Just go to the start page, then click “Sharing Center.”
From there, you’ll be able to add multiple users, set folder access levels for each user, and add individual items to the folder.
User Interface and User Experience
RoboForm’s interface is user-friendly and easy to navigate. If you click the home button in the upper left corner, you’ll be taken to the Start page, where you can access, edit, and share all of your passwords and Safenotes.
RoboForm’s customization settings are pretty limited. However, you do have the ability to update some preferences, such as autosave, autofill, and your preferred sorting for logins.
You can also toggle between a light and dark mode.
Integrations and Compatibility
RoboForm works on all browsers and devices, including Windows, macOS, Linux, and Chrome OS systems. The browser extension is available on Chrome, Edge, Firefox, Internet Explorer, Safari, Opera, and other browsers.
There are also iOS and Android apps available. Roboform’s app has a 4.7-star rating on the App Store and a 4.6-star rating on Google Play.
Unfortunately, there is no official RoboForm API.
Customer Support
The level of customer support you get with RoboForm depends directly on the plan you’re subscribed to.
Here’s a breakdown of the support you’ll get with each RoboForm tier:
- Free: 24/7 email support
- Premium: Priority 24/7 email support, live chat, and phone support Monday through Friday 9am-5pm EST
- Family: Same as Premium
- Team & Business: Same as Premium and Family, plus multi-platform support
You’ll need to have an account with RoboForm to receive any kind of support, which can be frustrating if you have a question or concern before signing up.
If you’re not a RoboForm user, the only options you’ll have to receive assistance will be visiting the Help Center or reviewing the user manual.
RoboForm — Unique Features
- Safenotes: This feature allows you to securely store information that isn’t automatically stored like login credentials. For example, you could use Safenotes to store your phone passcode, debit card PIN code, alarm codes, and other miscellaneous stuff you want to keep private.
- Security Center: The Security Center breaks down the percentage of unique, weak, and compromised passwords you have stored in your RoboForm account. It’ll alert you when your passwords are vulnerable and provide recommendations for improving your online security.
What the Experts Say About RoboForm
RoboForm is a highly rated password manager. Here’s a breakdown of its ratings on some of the most popular software review sites at the time of writing this article:
- Trustpilot: 4.7 stars (361 reviews)
- G2: 4.6 stars (681 reviews)
- Capterra: 4.6 stars (311 reviews)
Many reviewers praised RoboForm for its user-friendliness, reliable login capture, and security. Many emphasized its usefulness for storing client passwords as well as internal passwords.
Roboform makes it exceptionally simple to add login information for all of our clients in a secure platform that only our team can access. The automatic nature of the login capture provides oversight for even the least likely among us to save login information. It also gives an opportunity to save all of the information in an organized way with layers of access for different roles.”
– Cathy E., Managing Director
Other users complained about some issues with the browser extension, duplicate logins, and a steep learning curve when upgrading from a personal account to a team account.
Duplications of logins present confusion because I can’t see when they were created or modified. Sometimes, the form filler fills out conflicting information that I don’t notice and could end up paying for a food delivery using the form filler for credit card info but not notice that the wrong apartment was entered.”
– Stewart R., Partner
RoboForm Alternatives
RoboForm is a solid, reasonably-priced password manager, but it’s not the right choice for everyone. One of its biggest drawbacks is that it doesn’t allow you to sync passwords between devices on the free plan.
Fortunately, there are many alternatives out there.
