Appointment Workflow Automation
Appointy offers a great deal of flexibility. You’ll spend time setting up your staff members, services, and hours of availability.
Appointy walks you through this process in a few clicks once you create your account.
In the first step, you’ll describe your business type: Individual, Multi-Staff Business, or Multi-Location Business.
What you choose here determines the plan you should be on.
In the next step, you’ll choose the type of services you provide.
Then, you’ll create your menu of services – adding prices if relevant.
Next, you’ll add staff members who work at your business. The number of allowed staff members depends on the plan you choose.
However, during your trial, you can add what you need and upgrade later.
Now, you’ll add business hours so your customers know when you’re open to accepting appointments.
And finally, you’ll add your business location information for in-person appointments.
Customization Options
You can do a lot of customization with Appointy, using Customer Booking Rules and customization features.
In the Settings Dashboard, you have the “Customer Booking Flow” option, which allows you to set the Booking Sequence to suit your needs.
The default flow looks like this: Service Options > Staff Options > Availability Options > Login Options > Booking Confirmation.
The other option is: Service Options > Availability Options > Staff Options > Login Options > Booking Confirmation.
What you set here determines how customers are presented with information as they book appointments.
With the customer Booking Rules section, you can set things like:
- Who can schedule – phone verified members or email verified members – whether the appointments require approval or or not. (Costs associated with phone verification and SMS verification are also listed)
- Branding – the option to remove Appointy branding on the booking portal – only available on the Enterprise plan
- Customer Booking Sequence
- Toggle Yes/No on showing customer names with their reviews
- Toggle Yes/No on allowing customers to promote their appointment on social networks
- URL of the calendar on your site if you integrating Appointy with your website
- Social channels – Facebook and X (formerly Twitter) page URLs
You can also set:
Lead and Cancellation time – how much time you want between appointments, your acceptable cancellation window, etc.
Payment Rules – accepting prepayments and collecting tax. This is also where you’ll add your chosen payment gateway.
Options vary depending on your plan.
Booking Restrictions – geographical restriction, booking limit per customer, and domain-restricted booking (so people can only book from your website/domain)
With the Advance Booking options, you can:
- Toggle Yes/No to allow back-to-back booking so customers can select multiple services at the time of booking
- Toggle Yes/No to allow recurring bookings with a maximum of 50 appointments per order
- Toggle Yes/No to allow quantity booking, which allows customers to reserve appoints for more than one person in a single transaction.
Under Booking Policies, you set your:
- Cancellation Policy
- Additional Information – used to specify any additional information or policy. You can send this to customers as part of appointment-related emails
- Terms & Conditions – used to specify the T&C specific to your business. Users have to agree to these terms before they can book their first appointment. If you change or update these, customers must consent again before booking any additional appointments.
Under the Customization Section, you can:
Customize Emails
In this section, you customize the emails that customers receive when certain things happen. You can start with templates or edit them to suit your needs better.
Options include:

- Waiting for Approval – Approved Appointment

If you want to give customers the option to purchase additional products or services in addition to the main one, this is where you add it.
For example, adding aromatherapy to a massage.
Intake Form
This is where you can customize a form with the information you need prior to the appointment.
Look & Feel
Here’s where you can change colors to make everything match your branding. It looks like you have to do it with CSS, which isn’t intuitive for most people.
Calendar Management Features
The Calendar management features are fairly limited from within the dashboard itself.
It just gives you a glance at your appointments, which can be changed to a few different views.

Automated Reminders and Notifications
It’s up to you to determine whether you want to send automated email reminders. If you’re willing to pay for the credits, you can also send text message reminders, too.
With Notification Settings, you can set Reminder Notifications for your customer bookings. By default, you send an email notification 12 hours before the appointment.
You also have the option to turn on text message reminders, but doing so requires you to purchase SMS credits.
You can purchase one of two packages:
- $5.00 Credit Pack: 300 credits
- $20.00 Credit Pack – 1,428 credits
You can send a text message whenever an appointment requires approval or each time an appointment is booked.
Client Management and Communication
Every time a customer schedules an appointment, their customer record is either created, or updated accordingly.
For this review, I created myself as a customer manually. I was able to choose whether or not I wanted to send an email to the customer, which I did for the sake of showing what it looks like from the customer’s point of view (without any changes to the default look and feel or email template).
I did notice a bit of a lag while adding the address and actually creating the customer record.
From here, you can see a record of all current and past appointments or manually create an appointment.
You’ll also see a history of gift certificates, and you can add one if you want. You can also see a payment record, and add new payments.
You’ll be able to see any reviews the customer has left. You can see information about the customer’s journey – based on monthly appointment activity.
And there’s a note section where you can add notes about the customer, such as preferences and other information that may be useful to you.
It doesn’t look like you can use this area of the tool to communicate with customers directly, though.
User Interface and User Experience
As you can see in the screenshots throughout this review, the user interface is easy to navigate and understand.
Set up takes a bit of time, but that’s true of any appointment scheduling software. It didn’t take me long to get the hang of the program, and I think someone with little technical knowledge and skill could easily get up and running within half an hour.
The only area where I could see people struggling that could use some improvement is the Look and Feel section.
It appears that it can only be customized with CSS, which is something that most people can’t just write themselves.
Yes, there are tools to help you, but it’s not made clear in the user interface.
Integrations, Compatibility, & Supported Platforms
Appointy integrates with Outlook, iCal, and Google Calendar. Overall, there are about 20 integrations to choose from, including video chatting platforms, social media platforms, payment gateways, and Google Analytics.
Because it integrates with Zapier, if there’s no native integration, you can connect it to over 1,000 other apps for better workflow automation.
Appointy is a cloud-based platform that works from any device with an internet connection. Though there’s no dedicated app, you can use the mobile web version on tablets and smartphones.
It appears that there was once an Android app, at least, but it hasn’t been updated since 2018. It’s also “not available for my device,” which is a Samsung Galaxy Note 20 Ultra.
Customer Support
Customer support is available 24 hours Monday through Friday and from 6:30 AM to 3:30 PM PST on Saturday.
You can reach them via phone or email. If you experience technical issues and want to schedule time with someone who will do a screen-sharing appointment with you, you can do so, using the Appointy software.
There is a help section on the site you can search to solve your issues as well. If you sign up now, you’ll want to use the Appointy 9.0 option, because the Legacy option is for customers who signed up for 2018 and are still using the legacy product.
Appointy — Unique Features
In a lot of ways, Appointy is similar to all the other appointment scheduling software online because it makes it easy to set client appointments.
What makes it stand out is the fact that it supports over 24 languages. Compared to other tools, you can integrate it with more calendars and multiple calendars if you need to.
Though managing bookings for multiple locations is only available on the highest tier plan, it’s possible.
